What Your SCC Wedding Coordinator Does

Jerrica & Lily, SCC wedding planners.

From Booking to Your Wedding Day

Aside from being your biggest wedding cheerleader, what does a wedding coordinator at Scott Conference Center actually do? A lot! From your first inquiry to the final moments of your wedding reception, our coordinators are here to answer questions, help with decisions, organize details, and make sure everything comes together.

At Scott Conference Center, we know you don’t plan a wedding every day. But we do! Here’s what you can expect when working with our wedding coordination team, Jerrica and Lily.

Before Booking: Getting to Know Scott Conference Center

Your wedding planning journey starts with a conversation. You’ll connect with Jerrica and Lily through email, phone, or your wedding planning platform to learn more about Scott Conference Center, our services, and what we offer.

We’ll answer your initial questions, share information about our wedding packages, and help you decide if our venue is the right fit for your celebration.

Your Wedding Venue Tour: Let’s See the Space!

We’re always excited to show couples around Scott Conference Center! During your tour, we’ll walk through the spaces available for your ceremony and reception. We’ll also review potential fees, taxes, and other costs so you have a clear picture of your wedding budget.

Need help figuring out the numbers? We’re happy to put together a customized estimate based on your plans.

Ideally, we’d love to show you the ballroom on an actual wedding day. This gives you the chance to see the room in action and picture what your own celebration could look like. We understand that a weekday tour may work better for your schedule, though. If that’s the case, we’ll just ask you to use your imagination!

Love what you see? We’re happy to place a two-week hold on your wedding date while you and your fiancé talk through the details.

After Booking: We’re Still Here for You

Just because you’ve booked your wedding venue doesn’t mean we’re disappearing until the big day. Our coordinators are available whenever questions come up. We don’t set limits on how often we talk, so don’t hesitate to reach out. Want to see the ballroom again or bring your family and wedding party for a tour? We’d love to have you back!

Attend Our Spring Wedding Tasting

Each spring, our wedding coordinators host a tasting event for all our booked couples. We invite vendors, prepare a variety of dishes from our catering menu, and give you the opportunity to sample some of the food you might serve at your reception. Jerrica and Lily are also there throughout the event to answer questions and chat about your wedding plans.

Can’t attend the spring tasting? Is your wedding date too close? No worries! We’re happy to work with you to arrange a private tasting.

6–8 Weeks Before Your Wedding: Finalizing the Details

This is when things start to feel real! About six to eight weeks before your wedding, we’ll sit down together to review all the important details. We’ll discuss:
• Your food selections.
• Reception room setup and floor plan.
• Wedding day timeline.
• Décor and setup instructions.
• Special requests and additional details.

This meeting is your chance to share everything that’s been floating around in your mind and let us help organize it. It’s also a great time to ask questions, make adjustments, and take care of anything you may not have thought about yet. Our goal is to make sure you feel confident and prepared as your wedding day approaches.

The Week Before Your Wedding: Final Check-In

The week before your wedding, we’ll reconnect to finalize any details that were still undecided after your planning meeting. We’ll also collect a few important items, including:
• Your final guest count.
• Photos for the entryway screens.
• Décor and vendor drop-off times.
• Seating charts to match your floorplan.
• Your final payment.

Once these details are in place, our team can get everything ready for your big day!

Wedding Week: Prepping

It’s almost go time! We recommend dropping off your reception décor and personal items at Scott Conference Center one or two days before your wedding. This gives us time to review everything with you, confirm where each item belongs, and make sure we understand your setup instructions.

It also means one less thing for you to worry about when family and friends start arriving and your schedule fills up with last-minute wedding activities.

Who Handles Wedding Décor and Vendor Setup?

Our team takes care of placing your reception décor according to your instructions. This includes items such as table décor, centerpieces, signage, and other decorative pieces.

There are a few exceptions. We ask that florists and vendors handle the delivery and setup of floral arrangements, large backdrops, rentals, and desserts.

You don’t have to coordinate all those details yourself! We’re happy to communicate directly with your vendors to arrange delivery and pickup times that work for everyone. We’ll also make sure vendors know where to set up and help them locate any additional venue items they may need.

Preparing the Ballroom for Your Reception

Once everything is in place, our team takes care of the finishing touches. We’ll set out water glasses and pitchers, prepare your nonalcoholic beverage station, light candles, adjust the lighting, and walk through the room to make sure everything is ready.

Then we wait for you to arrive!

Your Wedding Day: Time to Celebrate!

This is the part we’ve all been waiting for! As your wedding party arrives, our team will be ready to greet you outside. If you’re arriving by bus or shuttle, we’ll help bring in any items you need, including florals, coolers, and personal bags.

Your DJ will help get everyone lined up for the grand entrance, if you’re having one. From there, our team helps release tables for dinner while our service staff takes care of clearing tables throughout the meal.

And when it’s time for cake? After you and your new spouse make that ceremonial first cut, our team takes care of cutting and serving the remaining cake for your guests.

What Does Your Wedding Coordinator Do During the Reception?

You might spot your coordinator throughout the evening, but there’s a lot happening behind the scenes! We’re checking in with you, communicating with our staff, bartenders, and security team, adjusting lighting, and making sure the evening stays on track.

Later in the night, we’ll also begin organizing and packing up items for you to pick up the following day.

Our goal is to keep things running smoothly so you can spend less time worrying about the details and more time enjoying your wedding!
